Document Intake

Every piece of mail, on the right file, the same day.

Caseline takes everything inbound (mail, email, fax, portal drops, records), splits and classifies each document, matches it to the right claim, flags what's urgent, and files it in your claims system. Your examiners get clean inputs, not a pile.

The mail is where files go wrong first

Before anyone can work a claim, someone has to open the mail, figure out which claim each document belongs to, pick a document type, and file it. It's manual, it's slow, and it backs up the moment someone is out. Time-limited demands and hearing notices get buried inside combined PDFs. Records get filed to the wrong claim and disappear. Examiners burn hours on clerical filing instead of working files.

How it works

1

Connect the sources

Scanned mail, shared inboxes, fax, portal downloads, vendor feeds. No system migration.

2

Split and classify

Combined PDFs get split into individual documents, each classified by type: medical reports, bills and EORs, attorney correspondence, WCAB filings, lien documents, subpoenas, UR determinations, wage statements, work status reports.

3

Match to the claim

Claimant names, claim numbers, dates of injury, and other identifiers pulled from each document and checked against your claim system so it lands on the right file, even when the claim number is missing.

4

Flag what's urgent

Time-limited demands, hearing notices, filing deadlines, and anything your rules define as can't-wait, escalated to the right person immediately.

5

File and route

Documents named consistently, filed in your claims system, and routed to the examiner. Anything uncertain goes to a human review lane instead of being guessed.

A daily record of everything that came in

A daily index of every document received, what was filed where, what was flagged urgent, and what's sitting in exceptions. Weekly reporting on volume, aging, and exception rates. When someone asks "did we ever get that report," the answer takes seconds.

Works with the system you already run

No migration and no rip-out. Caseline files into your existing claims system and document folders.

Intake feeds the examiner

It never replaces them. Claim decisions stay with your team.

The mail is step one. Caseline also reads the full file and produces the work product: med chrons, summaries, issue flags, and drafts.
